ENTRIES

ELIGIBILITY

To be eligible to participate in this swim meet, swimmers must be a registered member of a YMCA of Middle Tennessee swim team or invited by the YMCA of Middle Tennessee Swim Club. Any questions regarding eligibility should be directed to the meet director.

A swimmer’s age is determined by their date of birth.

ENTRIES

Swimmers may enter a maximum of four individual events and two relay events. Entry times should be inshort course meters (SCM). All teams must lock out all entry changes in SwimTopia and set status to ready orsubmit entries via email to[email protected], which should include the following:

  • TeamUnify orSwimTopia.sd3 entry file (or equivalent)
  • TeamUnify or SwimTopiaPDF entry report
  • Team Information Form

ENTRY TIMELINE

  • Friday,September11th, 2026: Entries should be locked and status set to ready oremailed toJesse Ebenal by 8:00 p.m.
  • Monday, September 14th, 2026:Late entry files and the name of your center’s non-coaching staff member attending the meet must be emailed to Jesse Ebenal by 8:00 p.m.
  • Wednesday, September 16th, 2026:Team entries report, psych sheet,volunteer job assignments, and warmup lane assignments will be emailed to teams
  • Thursday, September 17th, 2026:Seeded Meet Program will be emailed to teams

The above entry deadlines will be strictly followed. Exceptions will not be made. All teams, coaches, and aquatics directors must follow these deadlines, which ensure all pre-meet planning is completed on time.

LATE ENTRIES & DECK ENTRIES

Late entries and deck entries will NOT be accepted at this swim meet.

FEES

  • $14 per swimmer
  • $2 per individual event
  • $2 per relay team

YMCA of Middle Tennessee swim teams will pay via journal entry (JE) from account 360-4820.Entry fees are non-refundable.

FACILITYINFORMATION

FACILITY

  • Six-lane, 25-meterindoorpool with a minimum depth of four feet and a maximum depth of 10 feet
  • Racing blocks located at deep end (25 meter events will start from the shallow end)
  • Automatic, semi-automatic, and manual timing systems will be used (if working)
  • A women’s locker room and men’s locker room with shower and locker access will be available; no locks will be provided; families are responsible for their own belongings
  • Admission is free; check-in procedures will be in accordance with YMCA of Middle TN policies
  • Concessions will not be provided; outside food is welcome as long as it is kept away from the pool

SPECTAORS

  • Folding/Camping Chairs are allowed in designed areas along the right side, leftside, and along the wall near hospitality.Only coaches and athletes are allowed behind the blocks. Each Team will have an area for their teams. Banners and signs are permitted. No athletes or spectators may go past the Official’s area. An Official is defined as any volunteer helping with the swim meet.

PARKING

Parking is available in the two parking lots shown below. Parking is not allowed on the road or the loop in front of the school’s main entrance.

COMPETITION & MEET INFORMATION

VOLUNTEERS

All participating teams are required to provide volunteers for all assigned volunteer positions. Exceptions will not be made. Volunteers should be determined by each team prior to the start of the corresponding volunteer meeting.

CLERK OF COURSE

Clerk of course will be located at the shallow end of the pool. It will be used for 8 & under individual events. Parents are not allowed in the clerk of course area. Coaches should make sure that swimmers understand where to go, as well as the importance of remaining quiet, listening, and following directions.

COMPETITION

  • Meet programs (heat sheets) will be emailed to teams. Select volunteer positions (starter, referee, judges, clerk of course) will be given printed copies of the meet program the day of the meet.
  • Relays not in an open event are permitted a maximum of one swimmer who swims up by one age group in order for the relay to be considered legal. For example, an 11-12 relay can have one swimmer from the 9-10 age group.
  • Fly-over starts may be implemented at the discretion of the Meet Director/Referee.
  • Events may be combined at the discretion of the Meet Director/Referee.
  • Any and all breaks will be at the discretion of the Meet Director/Referee.

SCORING, AWARDS, & RESULTS

SCORING

Points for individual events will be awarded for first-sixth place and will be as follows: 7-5-4-3-2-1. Points for relay events will be awarded for first-third place and will be as follows: 14-10-8.

AWARDS

Ribbons will be awarded for first-sixth places for individual events and first-third places for relay events.

RESULTS

At the conclusion of the meet, results will be uploaded to SwimTopia and emailed to teams.
